VisitCheltenham acts as agent for the venue providers and therefore, any contract for the booking is directly between you and venue provider. Please see the venue providers terms and conditions of contract.

Payment for accommodation booked through Cheltenham Conference Desk
This is payable to the accommodation provider upon departure less any deposits paid. These terms apply unless you have made alternative arrangements with providers in advance.

Cancellations
In the event of a cancellation or if you fail to arrive to take up your accommodation by the time stated without prior arrangement with the accommodation provider (a 'no show') then the booking will be automatically cancelled and the  deposit paid is forfeited. In addition, accommodation providers are able to charge substantial amounts of the balance should they be unable to re-let your room(s). Each hotel or guesthouse has its own cancellation policy and you are advised to check these charges if you are considering a cancellation.

Credit card details given to us may be used to enable the accommodation provider to debit a maximum charge of one night's stay, if the cancellation policy of the relevant provider entitles it to make such a charge.

A confirmed booking is a binding contract between you and the accommodation provider.

Complaints
Conference Cheltenham is a service of Cheltenham Borough Council, who shall not in any circumstance be liable for any loss (consequential or otherwise) damage injury delay inconvenience or irregularity caused through the acts or defaults of the venue provider its employees servants or agents.

Whilst Conference Cheltenham makes every effort to locate suitable Venues, we cannot be held responsible nor accept any liability for complaints or claims of any nature arising from this booking, nor for any loss or damage which may be suffered by you or any members of your party, during or as a result of your stay at the accommodation establishment. Sometimes problems may arise. In the event of problems with your venue you are advised to make these known to the proprietor immediately. If there is no satisfactory outcome please notify us immediately so that we may assist you. If is difficult to achieve a satisfactory outcome for complaints raised later.

Changes to Venue Booked
We reserve the right to change your accommodation and substitute accommodation of a comparable standard after confirmation if through unforeseen circumstances it becomes necessary e.g. flood, fire, or illness of proprietor.
